Privacy policy

This policy explains how R and M Flooring Limited, operating as RM Flooring & Cabinetry (“we”, “us”), handles personal information collected through rmflooring.ca. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).

What we collect

• Information you give us when you request an estimate, send a scope or RFQ, apply for a trade account, send a message or leave feedback: your name, phone number, email, company, city or postal code, project details, and any photos or files you upload.
• How you found us: the page you arrived on, the referring website, and advertising campaign tags (such as UTM tags or a Google Ads click ID), attached to your request so we know which marketing works.
• Anonymous shop activity: counts of which products are viewed, saved or included in estimate requests. These counts are not linked to your name or contact details.
• Technical information: your IP address and browser type, kept with form submissions to prevent spam and abuse.

Room photos (“See it in your room”)

If you use our room preview tool, the photo you upload is sent to Google’s AI image service (Gemini) to create the preview. We use it only for that purpose. Room photos and previews are deleted automatically after 30 days, unless you save your designs or request an estimate — then they are kept with your request so our team can help with your project. Please avoid including people or personal documents in your photos.

How we use it

• To respond to your request, prepare estimates, schedule work and follow up.
• To send text-message updates about your estimate, only if you ask us to. Reply STOP at any time to opt out.
• To understand which products and pages are popular, and to improve our website and advertising.
• To keep the website secure and prevent spam.

We do not sell your personal information.

Who we share it with

Your request is stored in our own customer management system. We use trusted service providers to run our business, including Microsoft (email), Google (website analytics, advertising measurement, maps and reviews) and our text-messaging provider. Some of these providers may store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.

Cookies and analytics

Our website uses a session cookie to make forms and your saved-products list work. We use Google Analytics and Google Ads conversion tracking, which set cookies to measure visits and see which ads lead to estimate requests. You can block or delete cookies in your browser settings, and opt out of Google Analytics using Google’s browser add-on. The map on our contact page only loads from Google when you choose to show it.

How long we keep it

We keep estimate requests and project records for as long as we need them to serve you and to meet legal, tax and warranty obligations. Uploaded photos are kept with your request and are only accessible to our team.

Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to being contacted. To make a request, contact us using the details below.
